Please refer to the following guidelines when releasing information on Butler County Community College students. If a student has not given permission to release any of their directory information (outlined below), the word **CONFIDENTIAL** will be displayed on the top left-hand corner of any of their records in Banner. Anyone requesting information about that student must be told, "I'm sorry, but I cannot give out that information." The only exception to this rule is if a student has given written consent that specific information may be released to specific individuals and/or groups.
If a student has given Butler permission to release their directory information, follow these guidelines:
Parents or immediate family members will be allowed to request the following information without written consent from the student;
- Whether a high school transcript has been received by Butler
- Whether a Butler transcript has been sent
- If transfer hours have been received.
Other educational institutions may ask you to verify the following information without the written consent from the student;
- If a Butler transcript has been sent to them
- A student's enrollment status and dates of attendance.
Companies may ask you to verify the following information without the written consent from the student;
- A student's enrollment status and dates of attendance
- Graduation dates, degree, and major.
(NOTE: Verifying means verifying the information they have given you. If you cannot verify that the information they have given you is correct, say, "I am not able to verify that information." Do not tell them the correct information without the written consent from the student.)
WE WILL NOT RELEASE GRADE OR DIRECTORY INFORMATION WITHOUT WRITTEN CONSENT OF THE STUDENT
This does include a student invoice/schedule. If you receive requests for information that you do not know how to deal with, contact the Registrar's Office, ext. #3123
